Our Terms and Conditions

Tranquil Safaris Ltd is a registered travel and tour company in Uganda and organizes different safari packages to Uganda, Rwanda, Tanzania, Kenya and DR Congo. Please take off time to read through the Terms and Conditions of Tranquil Safaris’ services. In these terms and conditions, “we or us” means Tranquil Safaris Ltd whereas “you” means all the people named on the safari booking.

Our terms are amended basing on the prevalent circumstances, however the terms and conditions at the time of your booking are the same. Please note that the rules and regulations of your home country might be different from those of the country you are going to for your holiday, so the laws and rules governing the country in which the services are provided will apply to your safari.

When you confirm a safari with Tranquil Safari it assumes that you have read well, fully understood and accept all the terms and conditions stated below.

  1. ACCURACY OF INFORMATION

1.1 All information and descriptions listed on our website in respect of itineraries, national parks, accommodation facilities, gorillas, chimpanzees and other tourist destinations are given to the best of our knowledge based on the latest information availed to us. By this, we cannot accept any liability or responsibility for omissions or errors resulting from matters beyond our control.

  1. BOOKINGS

2.1 All detailed information in client itineraries is given to the best of our knowledge as Tranquil Safaris based on the latest information available; that is why Tranquil Safaris cannot be liable for any other kind of modified information from other companies.

2.2 Tranquil Safaris Ltd provides accommodation reservations, transportation, meals, excursions or any other service as requested by the client in cooperation with independent suppliers.

2.3 All the packages we offer are subject to availability hence not guaranteed until confirmed. Things like gorilla permits and lodges are on high demand during the peak season hence it is essential that the client makes their reservation in advance before the safari.

2.4 In the process of reserving your gorilla permits and domestic flights, your full names, nationality and passport number needed because they have to appear on the gorilla trekking permit or Air ticket.

2.5 We advise the client that before they confirm a safari, they must make sure that they inform Tranquil Safaris detailed preferences or any kind of special requests of the participants. For example; diet requirements, medical needs and any other requirements. We will meet the requests if possible.

2.6 Tranquil safaris reserves the right to re-adjust or make changes on the safari schedule, accommodation, services and transportation indicated in the itinerary especially in the event of unforeseen circumstances before the travel date. Any re-adjustments to your itinerary will always be communicated as soon as possible.

  1. PRICES

3.1 Tranquil Safaris reserves the right to make changes on the prices at the time when there is increase in the cost of anything in the safari package or if there is any fluctuation in the exchange rate. Affecting the original cost of the tour. However, Tranquil Safaris will make every effort to minimize any increases.

3.2 The prices quoted for different safaris according to the itinerary include the following services: Ground transportation, Park entry fees, Accommodation in hotels, tents, lodges or guesthouses, airport pickups and drop offs if applicable, park ranger fees, English speaking guide/driver, bottled mineral water and all activities mentioned in the itinerary.

3.3 Expenses that are not covered in the quotation include: Domestic and International flight and ticket fares, Visa and Passports, tips, porter fees, extra activities not mentioned in the itinerary, personal travel insurance, and personal expenses such as alcoholic drinks, laundry, souvenirs and telephone services.

3.4 Prices quoted to our different clients or on the website are subject to change without notice, they are also not guaranteed until you receive a confirmation in writing.

  1. PAYMENTS

4.1 All safaris will be booked and confirmed only upon receiving a 60% deposit of the total cost of the safari. Things like gorilla permits should be paid for in full since the permit fee is required for the reservation to be confirmed.

4.2 Bookings made within 50 days before arrival must be paid for in full at the time of safari confirmation. If payment is not received according to what is agreed on, Tranquil Safaris has the right to cancel the booking.

4.3 The payment balance for your safari is due no later than 30 days prior to your safari, unless agreed otherwise.

4.4 Payments can be made by Bank transfer, VISA credit card or cash, before the safari starts. Please note that payments by VISA Credit card get a 5% charge as service fee. All credit transactions should be made at least 60 days before the safari starts.

  1. CANCELLATION & REFUND POLICY

5.1 All cancellation requests should be made in writing.

5.2 When you cancel your safari booking, a cancellation fee is charged and is payable as shown below.

5.3 No refunds shall be made for participants that won’t show up for the tour, late arrivals or for any unused services.

5.4 Gorilla Permits, Chimpanzee Permits and Air tickets for domestic flights are non-refundable. However, they can be rescheduled to a new date but in case you would want to reschedule, you must communicate to us 30 days before the initial date about your reschedules. Also note that rescheduling is subject to availability.

  1. INSURANCE 

6.1 Tranquil Safaris advises its clients to ensure that they have an appropriate insurance for the kind of safari they are undertaking before travelling. Such insurance must fully cover personal injury, death, medical expenses, illness, cancellation, theft of the client’s property, damages, or any kind of accident.

6.2 Insurance should also cover more adventurous and inherent risk activities like Whitewater rafting, Tracking of animals on foot and Mountaineering.

  1. MEDICAL REQUIREMENTS

7.1 Good mental and physical health is very essential in order to have the best experience of the active and outdoor tours. Some tours may involve travelling to remote areas without modern medical facilities. Also being in a good physical state is key for travellers with tour packages which involve trekking and hiking.

7.2 It is important that any participant with an underlying medical condition that requires regular treatment or which may be affected by heat, certain foods, high altitude, coldness, different activities; notifies us in writing in advance before travelling, we could advise and help accordingly.

7.3 If there is no information from the client to us about any special dietary or medical care, we assume no liability to that.

7.4 By forwarding the deposit to us, without communicating the above to us in writing, certifies that the traveller does not have any physical disability or medical illness that would create hazard for him or her or other participants during the safari.

  1. LIABILITY

8.1 Tranquil Safaris will make every effort in ensuring that all services and arrangements offered as part of the tour package are carried out as mentioned in the most proficient way. However, Tranquil Safaris doesn’t not have direct control over the services provided by suppliers but we choose every supplier with utmost care.  The company is will not accept liability for mistakes or omissions of such suppliers.

8.2 Tranquil Safaris shall not be liable for any injury, damage or loss of any nature whether to the participant or property.

8.3 Tranquil Safaris ensures to take care of its clients in the best way possible however shall not be liable to the indirect or direct costs of damage or loss of personal property.

8.4 Tranquil Safaris will not accept liability or payment of compensation for circumstances beyond our control; this includes international flight cancellations or delays or the force majeure such as threat of a riot, strikes, terrorist, border closures, thefts, epidemics, pandemics, wars or natural disasters, climatic changes, road closures, industrial disputes and all similar events which are beyond our control as a company.

8.5 It is the responsibility of the wholesaler or travel agency to make sure that all participants in the safari holiday possess all the appropriate visas, health certificates, passports, travel permits and any other kind of documents required for the holiday.

8.6 It is the client’s responsibility to take proper medical precautions in regard to safety and health. All participants should seek medical advice before travelling.

8.7 The laws of the country govern Tranquil Safaris’ liability to the passengers carried in its own vehicles.

8.9 Tranquil Safaris takes due care to prevent the clients injury, illness or death caused by insects or animals during the safari. However it is the client’s responsibility to take good precaution and follow safety rules and regulations.

8.10 Tranquil Safaris also strongly advises all clients to get comprehensive travel insurance before coming to Uganda, Rwanda, Kenya, Tanzania or DR Congo. Also note that local evacuation is available in case of an uncertain event that requires medical emergency while on safari with Tranquil Safaris.

  1. COMPLAINTS

9.1 Complaints should be reported immediately to our tour leader/guide or to the supplier of the services in question. We promise that we shall do our best to resolve any problem. In case the client is not satisfied by the solution given to them, they can write to the safari manager immediately pointing out clearly their problem in not later than 20 days after the safari, this enables us to instigate the issue fully.

9.2 We shall not be liable for any complaints not notified in accordance with the procedure described above.

9.3 Tranquil Safaris shall ensure that it exceeds every expectation in the safari arrangement. However different suggestions are much appreciated in order to keep improving the quality of our services.

  1. SAFARI EXECUTION 

10.1 Clients must follow carefully all instructions given to them by wildlife rangers or safari guides and also take caution while viewing animals.

10.2 Accommodation is based on the client’s desire whether budget, moderate or luxurious facilities. However also confirmation is based on availability.

10.3 Gorilla or chimpanzee permits guarantee that our clients shall be able to trek the primates in question however doesn’t guarantee that these animals will be in plain sight, sometimes it’s easy to see them other times you have to trek for a distance in order to see them.

10.4 Skilled English guides are key to your safari. They are the only people allowed to drive Tranquil Safaris’ vehicles. Any decision they take on matters including the roads used is final.

10.5 In instances where the client needs a safari guide/driver that speaks another language apart from English should communicate it in writing before travel such that we prepare accordingly in choosing the guide.

10.6 Tranquil Safaris reserves the right to substitute superior or equivalent lodges or hotels. In the instance where an accommodation facility is unavailable, Tranquil Safaris may substitute for you the next best quality lodge or hotel or suggest a superior standard facility (note that extra charges may apply).

10.7 Tranquil Safaris reserves the right to discontinue working with the participant on safari when they misbehave in a way that causes or can likely cause inconvenience, hazard or danger to any third party, ecosystem or environment. No refunds will be given to such a person and Tranquil Safaris shall not be accountable for any incurred expenses as the result of the termination.

  1. JURISDICTION

11.1 Tranquil Safaris is incorporated in the Republic of Uganda, it operates under the laws governing Uganda. But since we offer other safari packages other countries like Tanzania, Kenya, Rwanda and DR Congo, we also abide to their laws, rules and regulations when we our clients are in those countries for safari.
